FULL-TIME POSITION: Top-Tier Administrative Assistant NEEDED to Support High-Level Family Office in Chicago

An exceptional opportunity awaits an experienced and versatile Administrative Assistant to support a prominent family office based in downtown Chicago. This is a full-time, in-person role primarily supporting backend administrative operations for a high-functioning team. The assistant will work under the direction of a senior executive while providing key support to two additional team members, ensuring seamless coordination across various personal, professional, and household-related initiatives. This dynamic position includes everything from calendar management and vendor coordination to light financial tracking, travel support, and household logistics—no two days will be the same! The role offers a high level of exposure to both personal and professional operations of a distinguished family and requires someone comfortable working in a fast-paced, detail-oriented environment. Responsibilities include preparing and submitting medical reimbursement forms, assisting with bill pay, sorting mail, managing shipping and inventory, overseeing occasional vendor visits at the family’s Winnetka residence, and acting as backup to the team’s Personal Assistant during PTO. Occasional travel and evenings/weekends will be expected. Valid passport required.
LOCATION: Chicago, IL (Loop Office) + occasional travel to Winnetka, IL
START DATE: ASAP for the right candidate
SCHEDULE: Monday–Friday, in-office 3–4 days/week, with flexibility for occasional evenings/weekends
COMPENSATION: $90,000–$130,000/year DOE + discretionary bonus (target 11%)
BENEFITS: 80% medical/dental coverage (up to $1,000/month), 15 PTO days/year, 11 holidays (aligned with GTCR), 9 sick days, and a 401(k) with 3.5% company match
QUALIFICATIONS:
Minimum 5+ years in an executive assistant, personal assistant, or administrative support role (private service or family office experience a plus)
Highly organized with impeccable attention to detail
Excellent written and verbal communication skills
Comfortable juggling multiple priorities and switching gears as needed
Professional discretion and ability to maintain confidentiality at all times
Strong tech skills (Microsoft Office, DocuSign, FedEx shipping, etc.)
Must be based in or near Chicago, preferably the North Side for easy access to Winnetka
Ability and willingness to work occasional nights, weekends, and travel
Bonus: accounting background and/or notary certification (or willingness to obtain Illinois Notary)
